· Locate quality level hotel / conference center based on desired price
· Meet specified lodging requirements
· Manage meeting room requirements
· Provide breakout room requirements
· Handle food requirements

Locate and negotiate best value hotel / conference center in the event city:
· Research the event city for the desired type of facility including site visit if necessary
· Negotiate the best price for event needs
· Act as the liaison between staff and the hotel / conference center including handling all payments if desired

Coordinate food service:
· Plan all menus
· Main meals
· Snacks

Handle web based registration for event:
· Design user friendly website for registration and payment if required
· Design relational databases for registration
· Provide password protected site available to staff for planning purposes
· Host website for the duration of the event and beyond

Provide full range of audio / video capabilities:
· Sound systems to accommodate a full range of audio requirements
· Power Point presentation capabilities
· Video recording of conference events
· Video editing of finished conference video
· Duplication and distribution of conference videos and recordings
· Promotional video for pre-event distribution

Guarantee competent, friendly staff on site for event:
· Handle registration and check-in service
· Reproduce and distribute event materials and last minute handouts
· Provide runners to be available for any needs during the event
· Provide office space, internet, and technology for staff and delegates as needed
